Terms & Conditions
The terms that govern using Receva AI — billing, the free trial, fair use, how a booked job is defined and disputed, and the rest of the fine print. Written to be read, matching the numbers published on the pricing page.

1. Agreement to these terms
These Terms & Conditions ("Terms") govern access to and use of Receva AI (the "Service"), provided by VarienTech LLC, a Wyoming limited liability company ("Receva," "we," "us"). By creating an account or using the Service, you agree to these Terms on behalf of yourself and, if applicable, the business you represent. If you don't agree, don't use the Service.
Receva is a business-to-business product built for home service businesses. It is not intended for personal or household use, and the account holder must be at least 18 and authorised to bind the business to these Terms.
2. Description of the service
Receva answers inbound calls to a phone number you connect, runs H.O.M.E. qualification, books appointments into your connected calendar or field service management (FSM) system, transfers calls to a person on request, and places outbound calls to recover missed calls and follow up on estimates. Functionality varies by plan, as published on the pricing section of our homepage.
Receva is not an emergency dispatch service, does not diagnose faults, and does not quote work it cannot price. It will identify itself truthfully as an AI system if asked. These are product limits by design, not gaps we intend to close by promising something different in a sales conversation.
3. Eligibility and account registration
You must provide accurate account and business information and keep it up to date. You're responsible for activity on your account, including actions taken by technicians, office staff or anyone else you give access to. Notify us promptly of any unauthorised use.
4. Free trial
New accounts select a plan at signup and get a free trial of 30 days or 60 call minutes, whichever is reached first. Lead fees are waived for the entire trial — anything booked during it is free of the per-booked-job charge. Billing for the plan you selected follows the terms below once the trial ends.
5. Plans, fees and billing
Each plan is a monthly subscription plus a fee for each job Receva books you, as published on the pricing section of our homepage and summarised here:
- Starter — $199/mo, plus $10 per booked job.
- Pro — $349/mo, plus $8 per booked job.
- Growth — from $599/mo, plus $6 per booked job. Priced publicly; onboarded through a conversation with us given the setup multiple locations requires.
One rate applies to every booked job on a plan. How urgent the call was does not change it: an emergency costs the same as a routine repair.
Each plan also carries a fair-use allowance for call minutes that scales with the tier, described in Section 6. All prices are in US dollars.
When you're charged
Your subscription is billed monthly in advance and renews automatically each month until you cancel. Per-booked-job fees are billed in arrears on a weekly statement: each statement closes on a fixed weekly cadence, then every line on it is held for a review window before the statement is charged as a single amount, so you always have that window to check every line before any money moves. The window that applies is shown on the statement itself (see Section 7).
How payments are handled
We use Stripe to process payments. You enter your card on Stripe's own hosted checkout — card numbers never reach our servers, and we store only a reference to your Stripe customer and subscription plus the outcome of the last charge. You can update your card, view invoices and cancel from the billing portal linked in your dashboard, which is also operated by Stripe.
You are buying the Service from VarienTech LLC. Stripe is our payment processor, not the seller — your contract is with us.
On your card statement, charges from us appear as RECEVA AI — not VarienTech LLC, so you don't have to recognise a name you've never seen. If you see a charge you don't recognise, contact us before raising it with your bank: we can identify it from your statements immediately, whereas a bank dispute takes weeks and can suspend your account while it's open.
If a payment fails
Cards expire and banks decline. If a charge fails, Stripe retries it automatically over the following days and we email you so you can update your card in the billing portal. Your service keeps running during those retries — we don't cut off your calls over a card that needs replacing. If payment still hasn't succeeded after the retry period, we may suspend the account as described in Section 16, and we'll tell you before we do.
Tax
All fees are exclusive of tax. Where we're required to collect sales tax, VAT or an equivalent, it's calculated at checkout, shown separately, and added to your invoice. You remain responsible for any tax obligations arising from your own use of the Service beyond what we collect.
6. Fair use policy
"Unlimited calls" means no per-minute and no per-call charges, inbound or outbound, on any plan. It is not unmetered infrastructure — each plan carries a fair-use allowance for call minutes that scales with your plan tier. We'll confirm the allowance for your plan on request or at onboarding. Exceeding your allowance does not stop your calls from being answered and does not trigger an automatic overage charge. It triggers a review conversation with us, and if usage is consistently well above your tier, we'll work with you on moving to the right plan.
7. Booked jobs and billing disputes
A call is billable when Receva books a real appointment, in your service area, for a service on your catalog, with a contactable homeowner, into a slot that exists on your calendar. All conditions must hold. Not billable: out-of-area callers, spam and robocalls, wrong numbers, existing-customer service queries, callers asking for someone in your office, calls that never produced an appointment, appointments that never made it onto your calendar, bookings that were cancelled, and duplicate contact about a job already billed.
Every billed job on your statement links to its call recording, transcript and qualification result. You may dispute any line within the review window shown on that statement, which runs from the statement's close. A disputed line is held — excluded from that statement's charge — while we review it; if we determine it shouldn't have been billed, it's removed. An unresolved dispute is carried forward rather than left blocking your account.
8. Add-ons
Payments and deposits — $49/mo. An optional add-on available on any plan. It enables card deposits to be taken during a call through Stripe Connect. Deposits are paid into your own connected Stripe account. VarienTech LLC takes no percentage of your deposits; Stripe's own processing fees apply and are charged to you by Stripe, not by us. You control whether a deposit is required and the flat amount charged; that amount is set by us from your saved settings rather than chosen by the AI agent during the call. The add-on is billed monthly in advance alongside your subscription and can be turned off at any time, taking effect at the end of the billing period already paid for.
WhatsApp and web chat — coming soon. Planned as an optional add-on in a future release. It is not part of the Service today and is not currently priced. This section will be updated with its terms and pricing once it is available.
9. Cancellation, refunds, upgrades and downgrades
You can change or cancel your plan yourself, at any time, from Billing in your dashboard — plan changes in the dashboard, and cancellation and card management in the Stripe billing portal it links to. There is no cancellation form, no retention call and no notice period. Upgrades take effect immediately and are prorated. Downgrades and cancellations take effect at the end of the current billing period — you keep what you're paying for until then. On a downgrade, entitlements above your new tier stop (for example, the AI Sales Assistant and CRM sync below Pro, or multi-location routing below Growth); your data, calls and history are not affected.
Refunds
Subscription fees are billed in advance and are not refundable, in whole or in part. When you cancel, you keep full access for the remainder of the period you have already paid for — that access is the value received, which is why there is no pro-rata credit on the unused portion.
Per-booked-lead fees are handled before money moves rather than after, so they do not need a refund process. Every line on a statement is held for a review window before that statement is charged (see Section 7). If you raise a line and we agree it shouldn't have been billed, it is removed from the statement — you are never charged for it in the first place.
Because per-booked-job fees are billed in arrears, there is always one statement still open when you cancel. That statement closes on its normal schedule, gets its normal review window, and is then charged for the leads booked before cancellation. Cancelling does not void leads we have already booked you.
Nothing here limits any refund right you have under the mandatory consumer law of your jurisdiction, where such law applies to you.
Your data
On cancellation, your data is not deleted automatically. You can export your calls, leads, appointments and statements before or after cancelling, and request deletion at any time per our Privacy Policy.
10. Acceptable use and your compliance obligations
You agree not to use the Service to: violate any law; harass, defraud or mislead callers; interfere with or disrupt the Service; attempt to reverse-engineer or extract the underlying AI models; or resell the Service without our written agreement.
Because Receva places and receives calls on your behalf, including automated outbound calls for missed-call recovery and follow-ups, you're responsible for your own compliance with call-recording consent, telemarketing and robocall laws (such as TCPA in the US) and any equivalent rules that apply to your business and the jurisdictions you operate in. Receva provides the disclosure and configuration tools described in our Privacy Policy; using them correctly for your jurisdiction is your responsibility as the business placing and receiving these calls.
11. Third-party integrations
Connecting Google Calendar, Microsoft Outlook, Jobber, Housecall Pro or any other third-party service is optional and subject to that provider's own terms. We are not responsible for the availability, accuracy or behaviour of third-party services. If a connected integration disconnects, bookings continue on Receva's internal calendar in the meantime and sync back once reconnected.
12. Intellectual property
Receva and its licensors own all rights in the Service, including its software, design and the Receva name and logo. You retain all rights to your business data, call recordings, transcripts and any content you upload (including knowledge base material). You grant us a licence to use that data solely to provide, maintain and improve the Service for you.
13. Disclaimers
The Service is provided "as is." Receva is not emergency dispatch and does not guarantee an arrival time for any technician. Outputs of the AI — including qualification results, sentiment, summaries, upsell recommendations and revenue/ROI figures — are assessments generated by the AI, not confirmed facts, and are labelled as such in the product. We don't claim the AI is never wrong; we claim you can always see what it did and correct it.
To the fullest extent permitted by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement.
14. Limitation of liability
To the fullest extent permitted by law, Receva will not be liable for indirect, incidental, special, consequential or punitive damages, or for lost profits or lost business, arising from your use of the Service. Our total liability for any claim arising from these Terms or the Service is limited to the amount you paid us in the 12 months before the claim arose. Nothing in these Terms limits liability that cannot be limited by law.
15. Indemnification
You agree to indemnify and hold Receva harmless from claims, damages and expenses (including reasonable legal fees) arising from your use of the Service, your violation of these Terms, or your violation of applicable law, including call-recording and telemarketing law as described in Section 10.
16. Term and termination
These Terms remain in effect while you use the Service. We may suspend or terminate an account for material breach of these Terms, conduct that creates risk or legal exposure for Receva or others, or non-payment that remains unresolved after the automatic retry period described in Section 5 — with notice where reasonably possible. A failed card alone does not suspend your account; an unpaid balance after retries and notice may. You may cancel at any time as described in Section 9.
17. Changes to these terms
We may update these Terms as the product changes. We'll update the "Last updated" date above, and for material changes, we'll give customers reasonable notice before the change takes effect. Continued use of the Service after a change takes effect constitutes acceptance of the updated Terms.
